What this tool does

Onboard 10 or 500 devices without a visit to each one

Webex devices activate with a short code — but coordinating 100+ at once, assigning them to workspaces, and landing on the right firmware takes a plan. This tool generates your activation code batch, CSV for bulk workspace creation, firmware channel recommendation, and day-1 XAPI to set branding and defaults.

Deep dive

Workspace vs personal — a choice that sticks

Decide early whether a device is a workspace (huddle rooms, hot desks, lobby) or personal (assigned to a user like a desk phone). Workspace devices use Webex Calling's workspace license (cheaper) and don't follow a user. Personal devices inherit the user's calling plan, cost the same as the user license, and ring on any device the user owns. Mixed deployments are fine — just label clearly in Control Hub so your inventory report makes sense later.

Firmware channels matter more than people think. Stable is 4-6 months behind Preview but has the fewest regressions. Preview gets new features first but expect 1-2 quirks per release. Long-Term (LTU) is MTR-certified — only use it if running Microsoft Teams Rooms on Webex hardware; mixing LTU with pure Webex mode locks you out of recent Webex-only features. Set firmware channel by device group, not org-wide, so you can stage.

Day-1 XAPI is your chance to brand every device and set sane defaults: company logo, wallpaper, default language, halfwake screensaver text, standby timeout, and auto-answer behavior for huddle rooms. You can push this via Control Hub's Workspace Integrations or via per-device xConfiguration over SSH. Push once on onboarding, then the device stays configured through firmware updates.

FAQ

Common questions

Can I onboard 100 devices at once?

Yes — use bulk CSV in Control Hub. Codes are valid 7 days.

Can Desk / Room devices run both Webex and Teams?

Not simultaneously. Choose one mode per device. MTR mode requires specific models + firmware.

What network ports do devices need open?

443 outbound to *.webex.com. SIP/SRTP to Webex cloud media nodes.

Do IP phones need DHCP option 150?

Only for on-prem CUCM. Webex Calling phones use EDL (enrollment device list) via MAC.
