Webex Calling Auto-Attendant Builder

Build an AA menu that sends callers to the right place the first time. Business hours, after hours, holiday, dial-by-name, and escape key — all emitted as Control Hub config and announcement scripts.

What this tool does

AA menus that callers actually complete

Good auto-attendants feel invisible — caller presses 2, lands on sales in under 4 seconds. Bad ones are mazes. This tool designs a flat, 5-option-maximum menu with mandatory escape-to-operator key, separate after-hours and holiday behaviors, and spoken-script prompts you can hand to a voiceover artist.

Deep dive

Five rules for an AA that doesn't frustrate

Flat, not deep. If a caller has to press more than 2 keys to reach a human, you've lost them. Maximum 5 top-level options, no sub-menus unless absolutely required. Most B2B deployments can fit in 3 options: Sales, Support, Operator. More options = more misrouting.

Mandatory escape to operator. Press 0 must always reach a real person (or an overflow group that reaches one fast). This is required under some accessibility regs and is just good practice. Also state the escape in the greeting: "Or press zero for an operator at any time."

Name your options with the department first, action second. Wrong: "For sales, press 1." Right: "Sales, press 1. Support, press 2." Callers are scanning for their destination, not waiting for verbs. Shorter prompts = faster navigation.

Holiday greeting changes, menu tree usually doesn't. Most orgs want "We're closed for the holiday, call back Jan 2" on holidays — not a separate menu. Set it as a greeting override with direct-to-voicemail on all keys. Use a separate holiday schedule in Control Hub with dates configured once per year.

Always record with a human voice. TTS is fine for option menus but the main greeting is the first thing a customer hears. Pay a voice artist $200 for a 30-second recording. You'll keep it for 5 years.

FAQ

Common questions

What happens if the caller doesn't press anything?

Configure a default route — usually to operator. Don't replay the menu indefinitely.

Can I upload my own audio?

Yes — WAV or MP3, 8 kHz mono preferred. Upload in Control Hub → Features → Announcements.

Does dial-by-name search by first or last name?

Last name by default. Configurable per AA.

Can I route based on caller's number?

Yes — use "Selective Call Forwarding" rules on the AA for VIP numbers.

Worked examples

Three AA designs

50-person consultancy

No receptionist, everyone has a DID.

3 options: Sales, Billing, Dial-by-name. 0 goes to rotation.
Flat. Most callers already know their rep.

400-person healthcare clinic

Patient intake + appointments.

5 options: Appointments, Billing, Medical Records, Pharmacy, Urgent. 0 to nurse triage.
Urgent must always reach a person, even after hours.

Multi-brand retailer

3 brands, shared phone number.

3 options at top: Brand A, Brand B, Brand C. Each has its own sub-AA.
Nested AA — acceptable when each path is short.
